The type of personal data we process

 

We currently collect and process the following information:

  • Contact details of all participants using our services

  • The terms, conditions and benefits of employees participating in our services

  • Particulars about such participants to enable us to carry out our services

 

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by employers, employees or their representatives to enable us to carry out our services. We use that information only to carry out our services.

We may share that information with an employee’s employer with their consent.

 

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

(a) a participant’s consent. They are able to remove their consent at any time. They can do this by contacting Keith Davis.

(b) we have a contractual obligation.

(c) we have a legal obligation.

(d) we have a vital interest.

(e) we need it to perform a public task.

(f) we have a legitimate interest.

How we store a participant’s personal information

​

Their information is securely stored on our IT system. We keep participant’s personal information solely for the duration of a referral to us and for a period of six months afterwards. We will then dispose of your information by securely deleting it from our IT system.

Participants’ data protection rights

Under data protection law, they have rights including:

​

  • the right of access – You have the right to ask us for copies of their personal information.

  • the right to rectification - You have the right to ask us to rectify personal information they think is inaccurate. You also have the right to ask us to complete information they think is incomplete.

  • the right to erasure - You have the right to ask us to erase their personal information in certain circumstances.

  • the right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.

  • the right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.

  • the right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

  • You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
